Hotel Room Scam - Beware!

There are companies (including Exhibition Housing Management or Convention Housing Services, Global Housing, Global Travel, etc...) who have been contacting our attendees to "assist" with hotel reservations.  They sometimes disguise themselves as the American Camping Association (ACA) Housing Bureau or claim to represent the hotels in our block.   They may claim they can get better rates, that rooms are limited, or use other sales pitch methods.   They are NOT the official housing bureau and are NOT affiliated with the ACA in any way.

If you receive a call from this or any company claiming to represent the ACA, be aware that this is a scam and DO NOT MAKE THE RESERVATION.   These companies are NOT affiliated with the ACA in any capacity.

Applying for Visa Information

We are very pleased that you are planning to attend this year's Tri-State CAMP Conference. You may need a visa to enter the United States. Because of world events, visa applications are subject to a greater degree of scrutiny than in the past and there may be a longer waiting period. The State Department recommends that you begin your visa application process well in advance of your travel dates.

Because visa Requirements vary from country to country, contact the U.S. Embassy or consulate in the country where you live to determine if you will need a visa and/or a visa support letter to visit the United States. You may apply for a visa at any U.S. consular office, but it may be more difficult to qualify if you apply from outside your country of permanent residence. For contact points for consular offices, visit www.usembassy.gov.

If you need a letter, contact the American Camp Association, NY office with your request. ACA, NY and NJ will send a letter to support your visa application via email in Adobe. We will only issue letters for persons who have registered and paid for an event. If you do not receive your visa in time to attend, your registration fee will be refunded. In view of the number of requests we are receiving for visa support letters, you should make this request as soon as possible. We cannot assure that we will be able to provide you a letter in time if your request is made fewer than 5 business days before your appointment or 10 business days before the beginning of the conference.

In order to grant your request for a visa letter, the American Camp Association requires the following:

  • Your Name, Address

  • Your Passport Number

  • Your Company Name

  • Your Title

  • If you are a member of ACA (including your member number) or not

  • If you are an exhibitor, speaker, or attendee

You may scan this information and send it as an email attachment to samara@acanynj.org.

For more information on applying for a visa, please visit the U.S. State Department Web Site.  You may also read more information here

The decision to grant visas belongs solely to the embassy/consulate. The Tri-State CAMP Conference cannot promise that you or your colleagues will receive a visa. Likewise, the Tri-State CAMP Conference cannot change the decision of the governmental agency should your application be denied. If you have any questions regarding this process, contact us at samara@acanynj.org.
